What we collect through this website, why we hold it, and the documents we deliberately never accept online.

Who we are

MATES International Education and Visa Services ("MATES", "we", "us") operates https://www.matesedu.com. Our head office is at Putalisadak, Kathmandu, Nepal, with offices at Sahid Chowk in Narayangarh and Cinema Hall Road in Parsa (both Chitwan), and at Talchowk in Pokhara.

What we collect through this website

We collect only what you type into a form on this site. That is your name, your email address, your phone number, and the answers you give about your study plans — for example the level you want to study, your intended intake and a general indication of budget.

We also record which page a form was submitted from and, where present, the campaign parameters in the link you arrived through. This tells us which of our pages and campaigns are useful. It does not identify you beyond what you have already given us.

What we deliberately do not collect here

We do not accept passports, bank statements, financial evidence, academic transcripts or any other document through this website. There is no upload facility anywhere on the site, and we will never ask you to email these documents in response to a web enquiry.

Those documents belong in a counselling appointment where they can be handled properly. If anyone contacts you claiming to be from MATES and asks you to upload financial documents to a website, treat it as fraudulent and call our office to check.

Why we hold it, and on what basis

  • To reply to your enquiry and arrange counselling — because you asked us to.
  • To prepare for your appointment, so you are not asked the same questions twice.
  • To understand which of our pages and campaigns actually help students, in aggregate.
  • To meet our own record-keeping obligations as a business operating in Nepal.

We rely on the consent you give when you tick the box on a form. You can withdraw it at any time.

Who can see it

Your enquiry is seen by MATES counsellors and admissions staff who need it to help you. It is not sold, rented or shared for anyone else's marketing.

Where you ask us to proceed with an application, we share what is necessary with the institutions you are applying to, and — where relevant to that application — with the appropriate immigration authority. We tell you before we do this, and you decide.

We use service providers to host this website and to deliver email. They process data on our instructions only.

How long we keep it

Enquiries that do not proceed are kept only as long as they are useful for following up, and then deleted.

Where you become a client, we keep your file for as long as we are working with you and for a period afterwards, so we can answer questions about an application we handled.

Specific retention periods are being confirmed by the MATES office and will be stated here before launch.

Your choices

  • Ask us what we hold about you, and we will tell you.
  • Ask us to correct anything that is wrong.
  • Ask us to delete your enquiry, and we will unless we are required to keep it.
  • Withdraw your consent to being contacted, at any time, without giving a reason.

Security

This site is served over HTTPS. Form submissions are validated and processed on our server, not in your browser, and no credentials or keys are present in the code your browser downloads.

We limit how many times the same source can submit a form in a short period, to reduce automated abuse.

No system is perfectly secure. If we ever become aware of a breach affecting your information, we will tell you.

Children

This site is intended for prospective students and their families. Where an applicant is under 18, we expect a parent or guardian to be involved, and applications for minors require parental consent documentation in every destination we work with.
